Controls within a Zoom Meeting

Commonly-Used Controls for Participants
The participant controls appear at the bottom of your screen if you're not currently screen sharing. When you are screen sharing, the controls will appear at the very top of the screen you are sharing (move your mouse to the top to view them). All participants have access to these features: Join Audio or Unmute/ Mute: Mute and unmute your microphone. If you see a red slash you are muted. Audio Controls (click the ^ arrow next to Mute / Unmute): Allows you to change the microphone and speaker that Zoom is currently using on your computer, switch to phone audio, and access the full audio settings. Tip: Use the following keyboard shortcuts to mute or unmute yourself. You can also use push to talk if you want to unmute yourself by holding the spacebar. Windows: Alt + A Mac: Shift + Command + A Start Video / Stop Video: Turns your camera on or off. If you see a red slash your camera is off. Video Controls (click the ^ arrow next to Start Video / Stop Video): Change cameras if you have multiple cameras, select a virtual background (not all computers are capable of running virtual backgrounds), or access your full video settings. Participants: See who's currently in the meeting and invite others. You can also access to these options: Rename: Hover over your name, click More, and choose Rename to change your screen name displayed to other participants. Chat : Access the chat window to chat with other participants. You may also send direct messages, if enabled. Share Screen: Start a screen share (if the host allows). You will be able to select the desktop or application you want to share. Learn more about screen sharing here. Record : Start or stop a local recording. Participants do not have access to start a cloud recording. Learn more about recording here. Note: The host will need to give you permission to record. If you don't have permission to record, use the in-meeting chat or audio to ask the host for permission. Reactions : Meeting reactions, nonverbal feedback, and Raise Hand allow you to communicate issues or feedback to the host or presenter without disrupting the meeting. These reactions are shown on your video panel and next to your name on the participants panel. Leave: Leave the meeting while it continues for the other participants. Only the host can end the meeting. If you are in a breakout room, you may have the option to leave the breakout room and return to the main session.

Sharing Your Screen
Click the Share Screen button located in your meeting controls. Select one of these screen share options: Basic: Share your entire desktop, specific application window(s), whiteboard, or iPhone/iPad screen. Note: Users can select multiple desktop programs at once, instead of sharing their entire desktop. You must be on version 5.4.3 or higher. Hold the Shift key on macOS or the Ctrl key on Windows to select more than one application. Important: if you are sharing a video, you must enable these features, located in the bottom-left corner of the share window: Share sound: If you check this option, any sound played by your computer will be shared in the meeting. Select the down arrow just to the right of the Share Sound option to switch between Mono and Stereo (high fidelity) audio options. Optimize for video clip: Check this if you will be sharing a video clip in full screen mode. Do not check this otherwise, as it may cause the shared screen to be blurry. Your camera will be muted while sharing. Click Share. When the sharing process is started and 80% of devices acknowledge receiving the shared screen, you will see a notification banner stating Participants can now see your shared screen, or whatever you have chosen to share. Notes: Zoom will automatically switch to fullscreen to optimize the shared screen view. To exit full-screen, click Exit Full Screen in the top-right corner or press the Esc key. To disable automatic full screen when viewing a shared screen, adjust the Window size when screen sharing behavior in your desktop client settings. On Mac OS 10.15 Catalina and later, you need to allow Zoom access to screen recording to share your screen. You can do this in your System Preferences. Select the Security & Privacy option, click the Privacy tab, scroll down to Screen Recording, and finally check the option for zoom.us. Share screen menu When you start sharing your screen, the meeting controls will move into a menu that you can drag around your screen. They will be at the top of the screen initially. Note: Some of the options detailed below may only be visible to the meeting host or co-host. Mute/Unmute: Mute or unmute your microphone. Start/Stop Video: Start or stop your in-meeting video. Security: Access in-meeting security options. Participants: View or manage the participants (if the host). Click the down arrow ⌄ to access Invite, where you can invite others to join the meeting. Polling: Allows you to create, edit, and launch your polls. The options to create or launch polls will open up the Zoom web portal in your default browser. When the poll closes, you can view the results and can download the full poll report. If a poll has already been created, both host and co-host can launch the poll, but only the host can edit or add polls to the meeting. New Share: Start a new screen share. You will be prompted to select which screen you want to share again. Pause Share: Pause your current shared screen. Annotate: Display annotation tools for drawing, adding text, etc. More: Hover over more for additional options. Chat: Open the chat window. Record: Start recording locally or to the cloud. Meeting Info: Shows the current meeting's ID, host, passcode, invite link, your participant ID, and encryption status. Closed Caption / Live Transcript: (only available to the host): If you have enabled closed captioning and live transcription for your account, click here to access those options. Breakout Rooms: Start breakout rooms. Enable annotation for others: Allow or prevent the participants from annotating on your shared screen. Show/Hide Names of Annotators: Show or hide the participants' name when they are annotating on a screen share. If set to show, the participant's name will briefly display beside their annotation. Hide / Show video panel Hide / Show Floating Meeting Control Share Sound Optimize for video clip Note: Do not enable this setting if you are not sharing a full screen video clip, as it will blur your screen share. This should be enabled/disabled before and after the video you wish to play. End Meeting: Leave the meeting or end the meeting for all participants. Using dual monitors If you are using a dual-monitor setup, you can turn on the dual monitors feature to see the screen sharing on one monitor and participants on the second.

Recording a Class or Meeting
How to Record a Zoom Meeting During a Zoom meeting, if you are the host or co-host you can begin recording by clicking on the Record button at the bottom of the Zoom window. If you are a participant, you may request permission to record from the host. You may be prompted to choose local or cloud recording (only hosts with a Fuller Faculty & Staff account may record to the cloud). Local recordings are stored directly on your computer, in the Documents folder under Zoom and the date and time of the recording. Cloud recordings are stored in your Zoom account at https://zoom.us/recording, and from here you can view, edit, and share them. The recording will only become available after the meeting has ended and a short processing time. If it was a local recording, you will see the processing bar appear on your screen, after which the folder with the recording (named zoom_0.mp4) will open. In order to share a local recording, it is best to upload it to YouTube following these instructions: https://drive.google.com/file/d/1ILYVgPSaV4n261369_44Cr-8XIDNDP3T In order to share a cloud recording, find the recording at https://zoom.us/recording then click on Share. You will have several options, but for most cases make sure that “Share this recording publicly” and “View recording on demand” are off. Next to Sharing Information click “Show” (or “Copy”) and copy the full link and passcode. Everyone will need both to view the recording. Cloud recordings will only be stored for 120 days. For pre-recorded lectures, Loom is the preferred method, but sometimes Zoom might be necessary (e.g. if you are recording an interview). To pre-record in Zoom, simply start up your own Zoom meeting, share your screen with the content, and begin recording. If it is a local recording, the speaker’s video will appear in the upper right corner on top of your content. If it is a cloud recording, the layout will be determined by your settings at https://zoom.us/profile/setting?tab=recording If you have scheduled a class meeting through Canvas, any cloud recordings will be available for all students to view. You can use this to pre-record a lecture by scheduling a meeting in Canvas then joining it and recording your lecture. You can then delete the scheduled meeting in order to prevent confusion, but the cloud recording will remain. If you should be the host of the meeting, but do not see the host controls, it is likely that you are not signed in. Please click on the Participants button, then in the lower right corner of the Participants panel click on Claim Host. You may then sign in to claim your host role. Advanced Options You can adjust the settings for your recordings at https://zoom.us/profile/setting?tab=recording For cloud recordings, this is where you choose various layouts that will be recorded as separate files. Participating in Breakout Rooms
Joining a breakout room The host will need to invite you to join the breakout room. Click Join if you are not automatically moved to the breakout room. If you choose Later, you can join by clicking Breakout Rooms in your meeting controls. Click Join Breakout Room. You will have access to full controls similar to the meeting. Self-selecting a breakout room If the host has allowed participants to self-select and join breakout rooms of their choosing, participants will be able to view and select from a list of breakout rooms the host has created. They will be able to enter and leave breakout rooms freely. Note: Participants not joined with the desktop or mobile app (version 5.3.0 or higher) will not be able to self-select a breakout room. The host will need to facilitate moving these participants manually. Please update your Zoom app often. Click Breakout Rooms in your meeting controls. This will display the list of open breakout rooms created by the host. Hover your pointer over the number to the right of breakout room you wish to join, click Join, then confirm by clicking Join. Repeat as necessary to join other breakout rooms, or click Leave Room to return to the main session. Asking for help If you click Ask for Help, it will notify the meeting host that you need assistance and they will be asked to join your breakout room. Click Ask for Help in the meeting controls. Confirm that you would like assistance by clicking Invite Host. Recording while in a breakout room Ask the host for permission to record. Automatic recordings from the main session will not continue in the breakout room. The host needs to allow recording before opening the breakout rooms. If the host has already open the breakouts rooms, they can join your breakout room to allow you to record. Click Record in the meeting controls to start a local recording. Click the pause or stop icon in the meeting controls to pause or stop the recording. The recording can also be stopped or paused by clicking the indicator in the top left corner. Leaving the breakout room You can leave the breakout room and return to the main meeting session at any time (if allowed by the host), or you can leave the meeting entirely from the breakout room. Click Leave Breakout Room. Choose if you want to leave the breakout room or the entire meeting. When the host ends the breakout rooms, you will be notified and given the option to return to the main room immediately, or in 60 seconds.

[Host Only] Security and Managing Participants
Host controls allow you as the host to control various aspects of a Zoom meeting, such as managing the participants. The co-host feature allows the host to share hosting privileges with another user, allowing the co-host to manage the administrative side of the meeting, such as managing participants, breakout rooms, or starting and stopping the recording. The host must assign co-hosts during the meeting, and there is no limitation to the number of co-hosts you can have. As they can only be assigned by the host during a meeting, co-hosts cannot start a meeting. If you need someone else to be able to start your meeting, you may assign an alternative host. In addition to participant controls, the host and co-hosts have access to these additional controls. Security The following settings can be enabled from the menu: Lock Meeting: Locks the meeting, keeping new participants from joining the meeting. Enable Waiting Room: Enables Waiting Room for incoming new participants or to move current participants into the Waiting Room. This option is available regardless of the setting when scheduling the meeting. Hide Profile Pictures: Hide all profile pictures, including the host. Display names are shown instead. Allow participants to: Share Screen: Allows participants to share their screens. Please make sure this is checked if others will be presenting. Chat: Allows participants to use the chat function. Rename Themselves: Allows participants to rename themselves from the Participants panel. Unmute Themselves: Allows participants to unmute themselves without the host's permission. Start Video: Allows participants to start their video in the meeting. Annotate on Shared Content: Allows participants to annotate over content shared during the meeting. The host can enable or disable annotation when the host is sharing. Remove Participant: Removes a participant from a meeting. The participant can not re-join unless Allow removed participants to rejoin is enabled in Meeting settings. Report: Allows you to report a user to Zoom's Trust and Safety team. You will be able to select which user to report and provide details about the problem. You can also upload evidence, such as screenshots. Suspend Participant Activities: Turn off all participant's video, audio, and ability to share their screen. Also lock the meeting to prevent participants from joining. This will apply to all participants including those joined using a Zoom Room. Participants Click Participants to display the participants list. Hover over a participant and click More for these options: Ask to Unmute / Unmute / Mute: Prompts the participant to unmute, or mutes them instantly. Chat: Open the chat window to send messages directly to the participant. Stop Video: Stop the participant's video stream so they are unable to start their video. If the participant hasn't started their video, you will see the Ask to Start Video option. Pin: Pin up to 9 participants' videos so that it is always visible on your screen. This will not affect others' views. Spotlight for Everyone: Spotlight up to 9 participants' videos, so that their videos are always visible for all participants in the meeting. Make Host (only available to the host): Transfer your host controls to the participant. There can only be one host in a meeting. Make Co-Host / Remove Co-host Permissions(only available to the host): Assign the participant to be a co-host. You can have an unlimited number of co-hosts. Rename: Change the participant name that is displayed to other participants. This change only applies to the current meeting. Note: To change your own name that is displayed, hover over your name in the participants list and click Rename. You can permanently change your name in your profile. Assign to type Closed Caption (only available to the host): Assign the participant to type closed caption during the meeting. Allow to Record Local Files (only available to the host): Allow the participant to start or stop a local recording of the meeting, which will be saved on their computer. Participants do not have access to start a cloud recording. Allow to Multi-pin: Allows another participant to use the multi-pin feature. By default, participants can only pin 1 participant at a time. Put in Waiting Room: Place the participant in a virtual waiting room until you re-admit them. The host must enable waiting room for this option to appear. Put On Hold: If the waiting room is not enabled, you'll see this option to place the participant on hold. Remove: Dismiss a participant from the meeting. They won't be able to rejoin unless you allow participants to rejoin. Report: Allows you to report a user to Zoom's Trust and Safety team. You will be able to select which user to report and provide details about the problem. You can also upload evidence, such as screenshots. You will also have access to enable or disable these options at the bottom of the participants list: Invite: Invite others to join the meeting. Mute All: Mute all participants currently in the meeting. Click "..." for these options: Ask All to Unmute: Display a pop-up notification to all muted participants with option to unmute themselves or stay muted. Mute Participants upon Entry: Automatically mute participants as they join the meeting. Allow Participants to Unmute Themselves: Participants can unmute themselves if they want to speak to others in the meeting. Allow Participants to Rename Themselves: Participants can change their screen name displayed to other participants. Play sound when someone joins or leaves: Play a sound when participants join and leave the meeting Play Chime for Chat Messages/Raise Hand: Play a sound when participants use in-meeting chat or raise their hand. Enable Waiting Room: Enable the Waiting Room feature. This option is available regardless of the setting when scheduling the meeting. Lock meeting: Prevents other participants to join the meeting in progress. Merge to meeting window: Merge the participants list with the main meeting window. This option is only available if you separated the participants list from the main meeting window by clicking Pop Out from the top-left drop-down menu. To prevent participants from screen sharing: In the host controls, click the arrow ^ next to Share Screen and click Advanced Sharing Options. Under Who can share? choose Only Host. You may also allow participants to share, but prevent them from interrupting when someone else is sharing. Chat While in a meeting, click Chat in the meeting controls. Click More to display in-meeting chat settings. You can access the following options: Save chat: Save all chat messages in a TXT file. Saved to the same location as local files. Share file in meeting: Send a file in the chat. Allow attendees to chat with: Control who participants can chat with. No one: Disables in-meeting chat. Host only: Only the host can send messages to everyone. Participants can still send private messages to the host. Everyone publicly: Participants can only send public messages. Public messages are visible to all participants. Participants can still send private messages to the host. Everyone publicly and privately: Participants can send public or private messages. Public messages are visible to all participants. Private messages are sent to a specific participant

[Host Only] Managing Breakout Rooms
Breakout rooms allow you to split your Zoom meeting in up to 50 separate sessions. The meeting host and any co-hosts can choose to split the participants of the meeting into these separate sessions automatically or manually, or they can allow participants to select and enter breakout sessions as they please (participants must be on version 5.4.6 or higher to choose their own room). The host and co-hosts can switch between sessions at any time. By default, only the host or co-host can assign participants to breakout rooms. They can choose to allow participants to choose their own room, but this must be done in the meeting when launching the breakout rooms. If the meeting is being cloud recorded, it will only record the main room, regardless of what room the meeting host is in. If local recording is being used, it will record the room the participant who is recording is in. Multiple participants can record locally. Creating breakout rooms Note: You can also pre-assign participants to breakout rooms when you schedule the meeting instead of managing them during the meeting. Start an instant or scheduled meeting. Click Breakout Rooms. Select the number of rooms you would like to create, and how you would like to assign your participants to those rooms: Automatically: Let Zoom split your participants up evenly into each of the rooms. Manually: Choose which participants you would like in each room. Let participants choose room: Participants can select and enter rooms on their own. Click Create Breakout Rooms. Your rooms will be created, but will not start automatically. You can manage the rooms prior to starting them by following the instructions below. Options for breakout rooms After creating the breakout rooms, click Options (on Windows) or the gear icon (on macOS) to view additional breakout rooms options. Check any options that you would like to use for your breakout rooms. Allow participants to choose room: Participants can select and enter rooms on their own once rooms are launched. Allow participants to return to the main session at any time: If this option is checked, the participants can move back to the main session from their meeting controls. If this is disabled, they need to wait for the host or co-host to end the breakout rooms. Automatically move all assigned participants into breakout rooms: Checking this option will move all participants into the breakout rooms automatically. If this option is unchecked, the participants will need to click Join to be added to the breakout room. Auto close breakout rooms after () minutes: If this option is checked, the breakout rooms will automatically end after the configured time. Notify me when the time is up: If this option is checked, the host and co-hosts will be notified when the breakout room time is up. Set Countdown timer: If this option is checked, the participants will be given a countdown of how much time they have left before being returned to the main room. Follow the steps below to assign participants to rooms or click Open All Rooms to start the breakout rooms. Assigning participants to rooms To assign participants to your rooms, select Assign next to the room you wish to assign participants to and select the participants you want to assign to that room. Repeat this for each room. Once a participant has been assigned (manually or automatically), the number of participants will show in place of the Assign button. Preparing breakout rooms After manually or automatically assigning participants to rooms, you can rearrange the participants. Participants who are not assigned to breakout sessions will remain in the main meeting when the rooms are started. Hover over the participant or room for these options: Move to (participant): Select a room to move the participant to. Exchange (participant): Select a participant in another room to swap the selected participant with. Delete Room: Delete the selected room. Recreate: Recreate all Rooms: Deletes existing breakout rooms and allows the host/co-host to create new ones. Recover to pre-assigned rooms: Recreate the breakout rooms with the pre-assigned arrangement. This is only available if using the pre-assign breakout rooms feature. Add a Room: Add another breakout room. Open All Rooms: Start the rooms. All assigned participants will be moved to their respective rooms after confirming the prompt to join the breakout room. If allowing participants to choose their own room, they can open the list of rooms and choose which to join. The host, or co-host that launched the breakouts and the original host, will be left in the main meeting until manually joining one of the rooms. The participants (and the host/co-host when manually joining a room) will see the following message shown when joining the breakout room. Managing breakout rooms in progress Once the breakout rooms have been started, the assigned participants will be asked to join the Breakout Session. The host, or co-host that launched the breakouts and the original host, will stay in the main meeting until joining a session manually. If a participant has not joined the session yet, it will be noted by (not joined) next to their name. You can click these options in the breakout rooms window: Join: Join the breakout room. Leave: Leave the room and return to the main meeting (only shows when in a breakout room). Close All Rooms: Stops all rooms after a 60 second countdown, which is shown to the host, co-hosts, and participants, and returns all participants back to the main meeting. Responding to requests for help Participants in breakout rooms can request that the meeting host join their meeting by clicking Ask for Help. You will be prompted to join the room where the request originated from. Click Join Breakout Room to join the room. Broadcasting a message to all breakout rooms The host or co-hosts can broadcast a message to all breakout rooms to share information with all participants. This can be done from the main session or from within a breakout room. Click Breakout Rooms in the meeting controls. Click Broadcast message to all, enter your message, and click Broadcast. The message will now appear for all participants in breakout rooms.
